Six things to prepare before an instrument enquiry

Enquiry guide

A practical checklist covering samples, measurement goals, acceptance and service scope.

1. Samples and application

Describe the sample, material, dimensions, shape and area of interest. Share permitted photos or diagrams where useful, and agree what may be disclosed before sharing confidential information.

2. The data you need

List the quantities, units, measurement areas and output formats you need. Extract relevant items from drawings, acceptance requirements or previous reports rather than relying on terms such as “high precision”.

3. Current method and limitations

Explain the equipment or method in use and the limitations in throughput, repeatability, sample fit, operation or data processing. This helps distinguish new capability from replacement requirements.

4. Site and operating workflow

Describe the laboratory or production setting, frequency of use, users, space and system interfaces. Installation and facility requirements should be checked during selection.

5. Schedule and purchasing scope

Provide intended evaluation, purchasing and operational dates, and list the main instrument, accessories, software and training required. Include a budget range if defined; delivery timing depends on the confirmed configuration.

6. Acceptance and continuing support

Discuss the samples, methods and conditions for acceptance, together with training, reporting, warranty and technical support needs. List services separately to make quotations easier to compare.
